Company Stamp: Seal of Dignity
Sometimes used instead of a signature in letters and mailing documents, a company stamp is normally used by a company for documents that are extremely important and deal with subjects like law, employment, etc. Using a company stamp in a letter or envelope means the document is representing a company and not the personnel in the company. Here are a few points on company stamps that are perhaps news to you:
- A company uses company stamps not just for mails and envelopes but also for various purposes such as:
- Official documents
- Administration and personnel documents
- Bank notes
- Invoices issued by the company
- Custom documents
- Agreements between a company and a client
- Agreements between a company and an employee
- Normally a company stamp is custom made consisting of the corporate logo and company address.
- Losing a company stamp can result in forgery of documents for various purposes. Hence you need to be really careful about it.
- Company stamps are known as “company chops” in the Eastern parts of the globe like Malaysia, China, Singapore, etc.
- There are two different kinds of company stamps:
- Plier type seal: This one is cheaper and has 2 dyes, each on either side of the plier. When the plier is pressed, whilst keeping the paper in between, the dyes emboss the paper from both sides. This is economical and portable but does not always emboss a clear image on the paper.
- Lever type company stamp: In this kind of stamp one dye is on the base and the other on the lever above. The image is stamped by keeping the paper over the base and pressing the lever down on top of it. This is much more useful since the force exerted can be greater and therefore creates clearer images on the paper.
- Even though company stamps are normally used by companies, sometimes individuals, like Notary Publics and solicitors, can also find a use for custom made stamps.
- Since company stamps are often part of a company formation service, you can get company stamps from company formation agents.
- During the 17th and 18th centuries members of royal families used to create emblems on papers by pressing their rings on warm wax, thereby literally creating their mark. You could call this a predecessor of today’s company stamps.
- In the UK, before 1985, the year when the Companies Act was introduced, a company stamp was a legal requirement for a company. However, after the Companies Act was introduced, a stamp was no longer mandatory. Instead, the signature of two officers, normally the director and secretary, of the company can legally substitute for a seal.
- These days, self adhesive wafers can be obtained that create the effect of a company stamp. They are designed to look like wax and are normally distributed in a red or gold colour.

When you bought it, the vendor must have asked you for the purpose you are going to use it for. And that is written by him on the back of the stamp paper (like for agreement or for affidavit and so on). You can use it for that purpose off course and not otherwise.
